Event Terms and Conditions
  1. Definitions

"Attendee" means an individual registered for or attending an Event.

"Event" means an event hosted or organized by Milestone. Event(s) may include but are not limited to, MIPS, MPOP, Milestone integration Expo, Seminars, conferences, and webinars."

Badge" means the badge provided to you at the Event check-in which will designate your access to the Event, venue areas, and sessions.

"Milestone Registration Site" means the public registration webpage accessed through www.milestonesys.com and any other website properties of Milestone, its affiliates, subsidiaries, and related entities.

"App" means the Bizzabo Event App; It’s a third-party app developed by Bizzabo. We provide this as a free additional service, and it’s your choice whether you want to use this app or not. If you decide to use the app, then you will be subject to Bizzabo´s licensing terms for such use of the App.

"Event Dates" means the Event dates scheduled by Milestone.

“Event Sponsors” means an Event exhibitor or corporate sponsor.

"Partner" means any Milestone Partner or customer.

"Required Registration Information" means the information you provide on the Registration Page when registering for an Event. Milestone acknowledges that certain Required Registration Information may include Personal Data of the Attendee (e.g., first name, last name, picture, company name, company address, job title, email address and phone number). In this case, Milestone shall comply with all relevant data protection and privacy laws and regulations in force.

"Milestone" means Milestone Systems group of companies and its affiliates, subsidiaries, and related entities.

"Terms" or "Terms of Service" shall refer to these Terms of Service inclusive of the Code of Conduct.

"you" or "your" means you, the individual accepting these Terms, and/or if applicable the company or other legal entity for which you are accepting these Terms.

  1. Registration

Registration: All Attendees must complete registration on the Milestone Registration Site. To register for an Event, you must provide the Required Registration Information on the Milestone Registration Site and your promotional code (if any). If you are an existing Milestone customer, the Registration Site may already have your Required Registration Information, and such information will be pre-populated upon your registration for an Event. If you are not a Milestone customer, you will be required to enter your Registration Information. You will receive confirmation of your registration via email at the email address you provide during registration, as well as an invoice (if applicable).

Payment: Event registration is required, the payment is due in full prior to any deadlines detailed on the registration page of the Event. If payment is not made by the date listed on registration page, then Milestone “may” at its own discretion cancel/terminate your registration. Event registrations are subject to availability and may close earlier than the deadlines posted on the registration page. Event registration fees paid may only be used for the applicable Event you registered for and may not be applied toward the purchase of any other products, services, or events. If Event registration fees are required, then payment must be made via credit card. Further, you hereby authorize “Vendor/service provider” acting behalf of Milestone, to charge your credit card for fees associated with this Event. Milestone reserves the right to cancel your registration without notice for failure to pay registration fees as in accordance with these terms. Further Milestone is not liable for any damages, direct or indirect, resulting from such cancellation.

Cancellation and/or substitutions by you: If registration fees or other fees are required for the Event, cancellation and substitution instructions and the refund policy will be listed on the registration page for the Event.

Event cancellation by Milestone: The Event program is subject to change. Milestone may cancel the Event at any time and may deny, limit, or cancel a registration for the Event (including a confirmed registration) at any time. Milestone is not liable for any damages, direct or indirect, resulting from such cancellation. If Milestone cancels the Event or your registration, so long as you are in compliance with these Terms and any refund policy listed on the registration page for the Event, Milestone will issue you a full refund of any Event registration fee that you have paid in accordance with that refund policy.

Personal information about you: Your contact details and other information will be handled in accordance with the information handling practices described in the Milestone Privacy Policy (https://www.milestonesys.com/privacy-policy/). You consent to the collection, use, and disclosure of the information you provide in connection with the Event by Milestone Systems A/S and its affiliates in accordance with that Privacy Policy. Those entities will use your contact information to send details and announcements to you related to the Event, and communicate with you about other Events, products, or services. You can unsubscribe from promotional emails at any time by clicking the unsubscribe link in those emails.

Government officials: All government employees or officials who register to attend an Event must identify themselves as government employees or officials on the Registration Site. If a government employee or official is offered free or discounted attendance at an Event, the government employee or official may be asked to confirm that he or she has disclosed his or her attendance at an Event to their employing government agency in advance and that their employing agency has provided permission for the employee to accept free or discounted attendance at such Event. Each government employee or official who attends an Event also must confirm that he or she will abide by all relevant rules and regulations imposed by his or her employing agency during the Event, including those rules and regulations relating to the acceptance and disclosure of gifts and gratuities. A government employee or official who attends an Event may be asked to present his/her government issued employee badge at the Event check-in.

Badges: If a Badge is required for the particular Event you have registered for then in most instances you will be able to collect your Badge at the event check-in area during the Event Dates. Attendees may be asked to show a government-issued picture ID in order to be issued their Badge. Attendees may not be admitted into the venue without a Badge. Badges may contain RFID and/or NFC tags, which will be used to record your attendance and participation in the Event and to register you for marketing communications from Milestone, Event Sponsors or Partners. If you do not wish to receive marketing communications, you may elect not to have your badge scanned at an Event. If you demonstrate an interest in an Event Sponsor or Partner, such as by visiting a booth or attending a session, Milestone may share your Required Registration information with such Event Sponsor or Partner if you allow the Event Sponsor or Partner to scan your badge. The Event Sponsor or Partner may use these details to communicate with you regarding their products and services in accordance with their respective Privacy Policies. To opt-out of receiving these communications, please email the relevant Event Sponsor or Partner. Information collected through badges will not be disclosed to third parties, except with the Event Sponsors and Partners as set forth in these Terms.

Event code of conduct: By registering and participating in an Event you agree to conduct yourself in acceptable behavior and to not engage in disruptive speech or behavior or otherwise interfere with the Event or other individuals’ participation in the Event. You will comply with all applicable laws and agree not to engage in any form of harassing, offensive, discriminatory, or threatening speech or behavior, including relating to race, gender, sexual orientation, religion, or disability. (“Code of Conduct”) At all times during an Event, Attendees are expected to comply with the Code of Conduct. Failure to comply may result in your Event registration being terminated, your employer may be notified, and you may be banned from future participation in an Event and other Milestone events. Please report any violations of the Code of Conduct to onsite security.

Assumption of risk and release of claims: You acknowledge and agree that your attendance and participation in the Event is voluntary. You agree to assume the risks associated with attending and participating in the Event to the fullest extent permitted under applicable law. To the extent permissible by applicable law, you (for yourself, your heirs, personal representatives, assigns, and anyone else who might make a claim on your behalf) hereby release Milestone and its affiliates, and their respective directors, officers, employees, contractors, representatives, agents, successors and assigns, from any and all claims, demands, causes of action, suits, damages, losses, debts, liabilities, costs and expenses (including without limitation reasonable attorneys' fees and costs) that you may have now or in the future associated in any way with the Event.

Liability, limitation of liability: IN NO EVENT WILL MILESTONE BE LIABLE FOR ANY LOSS OF DATA, LOSS OF PROFITS, LOSS OF OPPORTUNITY, COST OF COVER OR OTHER SPECIAL, INCIDENTAL, CONSEQUENTIAL, INDIRECT, PUNITIVE, EXEMPLARY OR RELIANCE DAMAGES. THE AGGREGATE LIABILITY OF MILESTONE FOR ALL OTHER DAMAGES IN CONNECTION WITH THE EVENT SHALL NOT EXCEED THE LOWER OF EITHER (i) THE REGISTRATION FEE PAID BY YOU, OR (ii) FIVE HUNDRED DOLLARS (500 USD).

Extended hotel cancellation policy: A valid credit card is required to guarantee a hotel reservation and hotel fees will be charged directly to the Attendees. Hotel reservations are provided as an Affiliated Service and Milestone is not responsible for any issues or disputes between Attendee and hotel. Attendees will be responsible for complying with the hotel cancellation policy.

Personal release and license to use: Milestone (and/or others on behalf of Milestone) will be photographing, recording (both audio and video), webcasting and podcasting ("Recordings") at Event venues, events, or activities. This includes but is not limited to keynotes, breakout sessions, technical sessions, hosted events, and other activities. By agreeing to these Terms and by your participation in the Event you grant Milestone and its affiliates, agents, employees and assigns an irrevocable, non-exclusive, royalty-free right and license throughout the world and in perpetuity to reproduce, edit, publish, distribute, or translate, for advertising, publicity, and promotional purposes or for any other purpose relating to their business, all, or any part of the following:

  • images, your name, likeness, biographical information, voice, statements, including any materials or images in connection with Recordings or any other identifying characteristics (your “Image”) and all materials (electronic or hard copy) submitted or presented by you in connection with the Event.

You consent to the use of the Images and Recordings pursuant to the foregoing in perpetuity without compensation (unless prohibited by law) or additional consents from you and waive any moral rights you may have to such Images and Recordings. You agree that in case you want to practice your privacy rights, you can make a request at privacy@milestonesys.com.

 

Force majeure: Milestone will not be held liable, and subject to the refund policy, no refund will be offered , in the event of the cancellation or modification of the times, dates, sessions and/or events of an Event as a result of an event that is beyond Milestone's control, including but not limited to inclement weather, earthquake, flood, or other act of God, war, invasion, act of foreign enemy, hostilities, riot, national state of emergency, plague, act/threat of terrorism, civil unrest, strikes or other labor disputes, or any other similar or related event which delays or prevents any or all of the Event.

Forward looking statements: Some of the Event presentations and sessions will contain projections or other forward-looking statements regarding future events or the future financial performance of Milestone, its partners, and affiliates. Words such as "expects," "goals," "plans," "believes," "continues," "may," and variations of such words and similar expressions identify forward-looking statements. In addition, any statements that refer to or may imply future financial performance, our anticipated growth, and trends in our businesses, and other characterizations of future events or circumstances are forward-looking statements. All such statements that are not historical facts are based on our current expectations and are subject to a number of risks and uncertainties, and the actual events or results may differ materially.
